Clash of Kings IV Official Event Announcement - October 12-14, 2012 - Upstate NY

Greetings Dagorhirrim! In this time of blistering heat and suffocating humidity, we look fondly forward to the cooler days of autumn. In October, when the leaves begin to change, we hearken to the sounds of clashing warbands, again ringing through the wooded foothills of the Adirondacks.

The Realm of Winterfell and the Cairnhold Legion are pleased to once again request your presence at A Clash Of Kings, our annual battle and campout. This year's event will include multi-sided field and woods battles, a Monster Hunt, a sumptuous feast put on by the Legion's Coven of Succubi, the handfasting of two of our dear friends, Jael and Rothtor of Narnia, and, in true Cairnhold Legion fashion, a bumping dance party late into the night!

Costs

Full event site fee: $20, includes feast
Cabin reservation: $100 (this is a deposit, and can be applied to five people's site fees)

++ Payments can be made via PayPal to: paypal@mvgc.net [Mods, no one gets email to this address. It's a PayPal account only. Please don't edit it out this year.]

++ If you need to preregister another way besides PayPal, please contact me on FB or via email.

++ Only prepaid preregistrations will assure you a bunk.

++ We reserve the right to place more people in a reserved cabin if your group does not fill all ten bunks in it.

++ There is no hard cap on the number of attendees, however we only have bunks for 60 people. After 60, people will need to sleep on floors in cabins or bring tents.

++ Pre-registrations will be closed on Monday, October 8th at midnight. We need time to get the money out of PayPal.

Vendors: All are welcome. No additional fee beyond site fee. Vending will be outdoors. We have limited numbers of canopies and tables available for vendors if needed. Power available if needed. Contact David Haldenwang via Facebook for details. If you wish, we can arrange some tables in and near a cabin and set up a "bazaar" for multiple vendors.

Directions:

From the South, North, and West: Take Route 81 to the Central Square Exit(32) and head east on route 49 for 12.8 miles. When you see the sign for Village of Cleveland on the right, Martin Road will immediately follow on your left. Turn left on Martin Road, and continue for 1.7 miles until you see the Vanderkamp exit on your left.

From the Northeast: If from Harrisville and East, take 812 South. Follow signs to 26 South, and follow 26 for 40 miles. Turn right on Black River Boulevard North, follow for .6 miles. Turn right at Erie Boulevard East, follow for 2.4 miles. Turn left at 46 South/49W/Rome-New London Rd., follow for 5.2 miles. Turn right on 49 West, follow for 17.1 miles. Turn right on Martin Road and follow for 1.7 miles. Turn left when you see the Vanderkamp sign!

From the East: I-90 West to EXIT 34 (Canastota). Turn RIGHT onto N. PETERBORO ST/RT-13N & drive 10.9 miles. Turn LEFT onto RT-49 & drive 8.7 miles. Turn RIGHT onto MARTIN RD, and drive 1.7 miles to VANDERKAMP CENTER (on the left).

Some notes:

++ The cabins are delightfully rustic. This means they are uninsulated log cabins. Bring warm bedding. We also recommend if you get cold easily that you bring 3-4 heavy blankets or some plastic sheeting, and a staple gun, to cover the windows. Most of the cabins have only screen windows. If you cover your windows, we have kerosene heaters we will loan you, one for each cabin. One heater will run all night on a tank. It's normally not dangerously cold at this event, and a full cabin of 10 people with the windows covered is usually quite warm, but if cold is a concern for you, please contact David "hivemind" Haldenwang via Facebook so we can work out accommodations for you. There are a lot of options at this site - don't let this scare you away.

++ There is a bathhouse with flush toilets, sinks, and hot showers right by the cabins.

++ Units or groups wishing to reserve a cabin for themselves should contact David "hivemind" Haldenwang via Facebook. Reserving a cabin means that we will hold bunks open in it until your entire unit arrives. After that, we reserve the right to fill any empty bunks with other folks. Each cabin sleeps ten people. Reserving a cabin costs $100, payable by September 15th via PayPal to paypal @ mvgc.net. Please include your unit name with the payment, and a note that it's for CoK IV. Your cabin reservation gets you a $100 credit towards CoK IV site fees, to be used any way you wish. You can give ten people $10 off, pay for five people's entire site fee, whatever.

++ The site is discreetly damp. Underage drinking is not tolerated. Illegal drug use is not tolerated.

++ Unless someone is in imminent mortal danger (spurting arterial blood, compound fractures, Timmy fell down the well), ALL EMERGENCIES should be reported to Troll or the event organizers (myself or Bones), who will contact the appropriate authorities or emergency services if needed. Violations of this policy will be met with ejection from the site and banning from future events at this site. If you can't abide by this, please do not attend.

++ The Saturday evening feast is a formal event. Please wear your (orky, faerie, barbarian, fantasy) best. Formal presentations of attendees by the Legion's Herald, PegLeg, will begin at 5:45 PM. Please bring your own feast gear if you wish, however, plates and silverware are also provided by Vanderkamp for the paupers among us.

++ There will be loud modern music at night. It will not be in the middle of the sleeping area.

++ There is plenty of space for tents, if you'd rather.

++ Chinese Auction: to help offset event costs, there will once again be a Chinese auction of LARPy goods. Garb, armor, weapons foam and steel, jewelry, feast gear, and more. Tickets are available during the feast for $1 each, $5 for an arm length. Donations to the auction table are gratefully accepted.

++ People with a medical need for electrical outlets should contact David "hivemind" Haldenwang via Facebook.

++ This is an 18 and over event, however children are welcome when accompanied by their parents. Please contact me for case-by-case consideration for exceptions.

++ Cooking: There are firepits (rough stone rings) at each cabin. There are also gas grills available, but you'll need to bring your own full-size propane tank. Alternately, there's a large convenience store/small grocery store about 3 miles from the site in the town of Cleveland. They have a deli there that does good subs, chicken fingers, stuff like that - but it closes at 9 pm.

++ Footwear: Shoes/boots/sandals/some type of footwear is required at all times when outside of buildings. We regularly find buried broken glass, nails, and other such unsavory crap half-buried on the trails and around the fire pits.

++ Conduct: The campsite is owned by a Christian group. As such, loud foul language should be avoided, as well as anything that would be outright offensive. If you cross a line and jeopardize my ability to hold events here, you will be punched in the balls quickly and viciously.

++ Monster Hunt: Want to kill a minotaur? Fight an ogre? Fend off waves of shambling zombies? In the dark, in the woods, danger in every shadow, it's one of the most scary and immersive scenarios ever!

Winterfell House Rules:

++ Metal knees, elbows, and hands are allowed pending armor check for safety

++ Helmets of 14 gauge and thicker metal are allowed pending armor check for safety

++ Expanded grappling rules: Fighters wearing torso armor may grapple other fighters wearing torso armor. Only torso armor (including shoulders) counts in regards to grappling in armor. Fighters wearing no torso armor (including shoulders) may initiate a grapple with anyone. No one holding a bow or arrow may be grappled or initiate a grapple.

This may be the largest CoK we've ever seen.

Blackhawk and I are really looking forward to this event! :D  We will also be setting up BadAss Garb with the usual offerings of tunics, pants, winningas, cloaks, etc, and there might just be a few new garb styles that we're in the process of developing! See you there!
